Here are some of our frequently asked questions! Please check the answers below before reaching out to the Graduate Program for questions.

Will lodging be provided for me during the visiting weekend?

Yes; we cover lodging at an on-campus hotel (check-in Friday, check-out Sunday), and each student will be sharing a room with one other student. Room matching is done with careful consideration prior to the event. If you would like to get in contact with your assigned roommate before the weekend, please reach out to eweimerskirc@wisc.edu.

If you bring a guest (spouse, parent, etc), we will still cover one hotel room for both of you, but we will not pay for your guest’s meals and travel to Madison.

Can I get reimbursed for my taxi/Uber/Lyft/etc rides to and from the airport, bus station, and train station?

Absolutely! We will reimburse you for transportation in your town of origin to/from the airport, bus station, and train. After you return home from your visit in Madison, please fill out this form to submit your reimbursement request. All receipts must show applicable fees, taxes, and tips.

If my flight gets delayed or canceled, what should I do?

Please call our travel agency, Fox World Travel at 844-630-3853, or speak to your gate agent if you are already at the airport. If you feel like you still cannot reach a resolution, please contact Rebecca Moy at rebecca.moy@wisc.edu.

Please also email Emma Weimerskirch at eweimerskirc@wisc.edu to notify us of your flight delay or cancellation.

What should I do if I book my flight, but I can no longer attend my visit in Madison?

If you are unable to attend last-minute due to sickness, family emergency, etc, and you’ve already booked your flights, please contact Erin Hale at ehale@wisc.edu so we are able to notify our travel agency and hotel.

Will transportation be provided once I get to Madison?

Yes! Shuttle transportation to the hotel will be provided once you land at MSN, and will also be available to take you back to the airport when you leave Madison on Sunday. Please call 608-251-5511 when you land at MSN to request a shuttle. 

The shuttle will be available from 7:00am to 10:00pm. If you land before/after shuttle service is available, feel free to call an Uber/Lyft/etc and we can reimburse you for this charge after the weekend.

Will all my meals be provided for during the visit?

The following meals will be provided during the visiting weekend:

  • Friday: Dinner
  • Saturday: Breakfast, lunch, and dinner
  • Sunday: Breakfast bag

  Outside of the above, we will not provide further meals or reimburse other food charges (such as breakfast at the airport, stopping for coffee, etc).

What is the dress code for the weekend?

We encourage you to keep Wisconsin’s chilly winter weather in mind. 😀 Please ensure to bring a coat and any necessary accessories to keep you warm, as well as comfortable walking shoes.
